What happens when you accept all changes?

Track Changes keeps both versions of every edit in the file: deleted text is only marked as deleted, not removed. Anyone who turns on markup, or reads the file another way, can see what was taken out. Accepting all changes makes insertions normal text, deletes the removed text permanently, applies formatting changes and turns off change tracking, leaving one clean version.

How to accept all changes in Word

  1. Choose Open File and select the .docx file with tracked changes.
  2. The findings show how many changes there are and who made them.
  3. Accept all changes is already selected for tracked changes. Choose how to handle comments and other metadata.
  4. Choose Remove metadata and download.
  5. Open the clean copy in Word: there is no markup left to show, and Track Changes is turned off.

How the cleaning works

A .docx file is a ZIP package of XML parts. The tool opens it in your browser and rewrites the properties parts, removes the custom properties, custom XML, reviewers list and thumbnail, and edits the document, headers, footers, footnotes, comments, styles and settings to remove names, dates, revision IDs, template links and hidden text.

Accepting changes removes deleted text and change records and unwraps insertions. Inserted photos are cleaned byte by byte to remove EXIF, XMP and text chunks without re-encoding. The package is saved with neutral timestamps and checked again before you download it.

Sharing the document as a PDF?

A PDF exported from Word inherits the title and author, and adds its own metadata. Clean it with the PDF metadata remover, and permanently black out names or numbers on the pages with Redact PDF. To create Word files from Markdown, use Markdown to DOCX.

Example: finalise a reviewed policy before publishing

A policy went through three rounds of review with 140 tracked changes. Open it here, accept all changes, remove comments, and download. The result is the final text only, without the deleted wording, reviewer names or edit dates.

What to expect from the result

Only Word's modern .docx, .docm, .dotx and .dotm formats are supported; save old .doc files as .docx first. Password-protected documents must be unlocked in Word. Macros and embedded objects, such as an inserted Excel sheet, are kept unchanged and may carry their own metadata. Names typed in the text, headers or footers are content, not metadata, so they stay. Accepting changes keeps paragraph breaks around deleted paragraphs, so check the layout afterwards.

How do I accept all changes in Word?

In Word, go to the Review tab, open the Accept menu and choose Accept All Changes, or Accept All Changes and Stop Tracking. To do it without Word, or for several files at once, open the documents here with Accept all changes selected and download the clean copies.

Is deleted text really removed when I accept changes?

Yes. Deletions are removed from the document XML, insertions become normal text and the change records disappear. Before accepting, deleted text is still stored in the file even if you hide markup.

Can I keep the tracked changes but remove reviewer names?

Yes. Choose Keep changes, remove names and dates. Every change is attributed to “Author” and the dates are cleared, so the edits stay reviewable without identifying who made them.

How is this different from Word's Document Inspector?

Document Inspector is built into Word for Windows and Mac. This tool works in any browser, including on phones and Chromebooks, and cleans many files at once.
