What is a time card calculator?
A time card calculator adds up the hours on a weekly timesheet. You enter when you started and finished each day and how long your breaks were; it totals the hours, splits regular and overtime hours, and estimates gross pay. It helps employees check their paycheck and small employers prepare payroll without a subscription.
How to use Time Card Calculator
- Enter start and end times for each day, such as 9:00 and 17:30, and the unpaid break in minutes.
- Choose the overtime rule, the overtime rate and an optional hourly rate.
- Optionally round clock times to 5, 6 or 15 minutes to match your employer’s policy.
- Read the weekly total, overtime and pay, then download a CSV or print the time card.
Overtime rules and rounding
- US federal law (FLSA) generally requires overtime at 1.5× for non-exempt employees after 40 hours in a workweek.
- Some states, such as California, also count hours over 8 in a day as overtime. Choose “Over 8 hours a day” for that rule. California double time after 12 hours is not included.
- Rounding to the nearest 5, 6 or 15 minutes is allowed in the US if it evens out over time. Many employers use 15-minute rounding.
- Decimal hours are rounded to two places, as most payroll systems expect.

Example: a 45-hour week
You work 8:00 to 17:30 Monday to Friday with 30-minute lunches: 9 hours a day, 45 hours in total. With weekly overtime and $20 an hour, that is 40 regular hours ($800) plus 5 overtime hours at $30 ($150), so $950 gross.
What to expect from the result
This calculator estimates gross pay only. It does not calculate tax, deductions, state-specific double time or meal-break penalties. Check your employer’s policy and local labour law for how overtime and rounding apply to you.
Time Card Calculator questions
How do I calculate hours worked on a time card?
For each day, subtract the start time from the end time and deduct unpaid breaks. Add the days together. This calculator does it as you type and shows hours and minutes and decimal hours.
How is overtime calculated?
With the weekly rule, hours over 40 in the week are overtime. With the daily rule, hours over 8 in a day are overtime, plus any remaining regular hours over 40 in the week. Overtime pay uses the rate you choose, usually 1.5×.
Can I enter overnight shifts?
Yes. If the end time is earlier than the start time, the shift is counted as ending the next morning.
What is time card rounding?
Rounding adjusts clock-in and clock-out times to the nearest interval, such as 15 minutes. 8:07 rounds to 8:00 and 8:08 rounds to 8:15.
